Privacy & data protection
Draft for review · Updated 30 September 2026
ClearFiling is operated by EvolveBooks Accountancy Services. This notice explains how information supplied through this website is used. For a privacy enquiry, contact us through our meeting booking page.
Before public launch, this notice needs the operator’s full legal identity, a direct privacy contact, and confirmation of retention and international transfer arrangements.
What information we collect
Service forms collect your name, email, optional phone number, business or company details, relevant service information and any notes you provide. Request references, payment status and checkout references are stored with your request. Hosting providers may process technical connection and security information. Do not enter passwords, National Insurance numbers or identity documents in these forms; any further sensitive information will be arranged separately.
Why we use it and the lawful bases
We use request details to respond, assess your requirements and deliver agreed services, relying on steps towards or performance of a contract. Applicable record-keeping and identity-check duties rely on legal obligations. Website security, fraud prevention and handling enquiries rely on legitimate interests in protecting and operating our service. Sending a request does not sign you up for marketing.
Who receives information
Authorised team members and relevant hosting, storage and service providers may handle your information. The site uses ChatGPT Sites and Cloudflare infrastructure for requests. When enabled, Stripe handles card checkout; this website does not receive full card details. Booking a meeting takes you to TidyCal. HMRC or Companies House receives information needed for an agreed registration or filing; some Companies House information becomes public.
Review the privacy information provided by Stripe and TidyCal when using those services. The provider list and any overseas processing safeguards must be confirmed before this draft is finalised.
How long information is kept
Retention is determined by the time needed to respond to an enquiry, deliver services, meet applicable tax and accounting or identity-check record duties, and resolve disputes. Records should be reviewed and deleted when no longer required. The business’s retention schedule and review process must be confirmed before launch; this website does not currently delete requests automatically.
Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your information. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it. Required information is needed to assess or fulfil a request; without it, we may be unable to proceed.
Contact us about a privacy concern or rights request. You can also complain to the Information Commissioner’s Office, the UK data protection regulator.
Security and decisions
Requests are stored in the website’s database and reviewed by people. We do not use this site to make solely automated decisions with legal or similarly significant effects. Avoid placing unnecessary personal information in free-text fields.
